Missing Pieces by Matt McGann '00

Check your application tracking.

As you may have read on the front page of mitadmissions.org, our fabulous Records Office team has processed all of the mail we have received. This is a good time for you to check your application tracking on MyMIT. It will show what materials we have processed for you. We should have the following: Application Part 1, Application Part 2, Secondary School Report and Transcript, Evaluation A, Evaluation B, Testing Requirements, and, if applicable, Interview Report.

What happens if the tracking system is missing something?

First, do not worry. We do not assign blame on why we don’t have it, we just know that we have not processed it. We will not look at your application unfavorably because it is missing an application component at this time. There are still more weeks of reading to be done, so as long as you get us the copies in a timely manner, we’ll be able to evaluate it before selection committee begins.

The best way to get us a missing piece is by fax. Our Records Office fax number is (617) 258-8304.

If we are missing an evaluation, the teacher may fax a copy to us. If they need another copy of the evaluation form, you can get a PDF from the tracking system.

If you had an interview more than two weeks ago and we haven’t yet processed it, you should fill out the Conducted Interview form on the MyMIT Application Tracking Detail page. We will follow up with your Educational Counselor.

If we have not processed standardized test scores that that you had the testing agency send us, then you may fax us a copy of an official score report. We will follow up with the testing agency.

As mid-year grades are not yet available for most students, we do not expect that most students have sent in the Mid-Year Grade Report. You should send this in as soon as possible after your grades are available.

Bottom line: do not stress if we are missing pieces. It happens every year for reasons usually beyond your control. No worries.

    do international students need to submit the mid year grade report and i took toefl on dec. 8th but i haven’t even received an official score report as yet neither have my test scores been reported as yet …what am i supposed to do ..

    and do i need to send an email to the admissions office stating that i am taking the subject tests on jan 27th ..although it is mentioned on part 2 of my application

    iam international too, my mid-term grades were available way back and my principal sent the transcripts(thats at she told me) but also said that she did not sent the mid-year report, saying that it was only for US schools, should I ask her to send in the mid-year grade report form of MIT even though MIT already have the transcripts?

    Although I have instructed College Board to send in my SAT 1 and 2 scores, they’r not showing in my my.mit.edu account! What am I to do? Should I just wait a little more, or ask them to resend it? I am taking the SAT 1 on Jan 27 and have already informed the admissions dept. about it.

    1. Is it necessary/ helpful for the admissions committee to have a “school profile” from a small Private School outside of the USA?

    2. If students have been admitted to MIT in the past from this school, would you already have knowledge about it? Or, do the admissions readers change from year to year?

    I am an international student and I already faxed my financial aid application. How do I know if you have received/processed it? If through MyMIT, how long does it take for the finaid application to be shown as received/processed?. And, by the way, are decisions also notified through MyMit account?

    Hello Matt. I am an international student. I have sent in my SAT-1 scores, but since they were terrible, I want to replace them with my TOEFL score. My TOEFL scores have come out but I have seen that most of the time the official scores(for TOEFL) do not reach the universities or students on time. I took the test on Dec. 15 but if the official score doesn’t arrive on time what should I do?

    Hi Matt,
    none of my mailed items(school report, transcripts, evaluations and financial aid documents) have reached the admissions office according to MyMIT, and neither have my toefl scores been received. I took the Toefl(iBT) on the 6th of January so I still dont have the official score report.
    I am already in the process of faxing the other documents but my counselor might not have extra copies of the filled out evaluations and getting them written all over again might take long depending on my teachers.
    1.By when, at most, should all the documents reach the admissions office in time for consideration?
    2.What shoukd I do about the Toefl scores?
    3.Lastly, being an international student, I don’t require the midyear report so is it okay if the midyear report stays unchecked on my tracking page?

    It was pleasant reading it.

    For all those people who are worrying about sending in the mid-year report, it is clearly mentioned that it is only for US schools and schools that follow the US system. So if your school does not follow such system, don’t give it a thought.

    I sent my SAT I and II’s, along with my ACT scores at the beginning of this month, however, they have still not registed on MyMIT. Should I send them (rushed)? Also are test scores recieved as they come in, or does MIT get like a batch report every month?

    actually I have pretty much the same problem of kanika, you have somehow not recieved my scores… I took the SATII in July and the TOEFL in Novembre… I could send you by fax the score report for the TOEFL but not for the SATs because I have never received an official score report… what should I do? as always thanks for your aid!!

    So, no doubt you have heard of the storms of the Pacific Northwest. Because of said storms, the date for the end of our semester has been pushed back, and as a result, you may get our Mid-Year Reports later. It’s probably the same situation in the Midwest.

    Just a heads up. =P

    Also, a question: is it alright to include additional teacher recommendations within the Mid-Year report? Or should they be sent seperately? On the same lines, how much of a decline in grades will hurt my grades? For example, will a single B be frowned upon as an indication of possible weakness?

    I know for sure that my mid-year grade report was sent together with my transcript but myMIT only checked my transcript as processed and not the mid-year grade report. Is there a reason for concern? Do they get processed at different time?

    The Admissions page says financial aid materials are due February 15th. The Financial Aid page says April 15th. Have I misread something? I could really use the extra time…

    My name is Jimmy George and I have applied to MIT as an international student. I had sent all my MIT application parts, including Application Part 1, Application Part 2, Secondary School Report and Transcript, Evaluation A, Evaluation B, my SAT score report and my TOEFL score report to your admissions office (the latter two through the official testing agency). Every thing else except my TOEFL score report have been shown as received by the admissions office in my mymit account even though I had sent it just a little after mid-December (i.e., five weeks ago).

    What do you say:

    Should I wait for a week for the score report to reach?

    OR

    Should I fax you a copy of an official score report as you have advised immediately?

    My name is Shanwei Cao, an international applicant from China.

    My Secondary School Report and Transcript is missing according to my application tracking. However, I am quite sure it was sent to your office. (Because, in order to reduce mailing expenses, I invited my principal and the 2 teachers of mine to return their sealed envelops to me so that I could include the 3 documents in one Express. The teacher recommondations have already been checked in MyMIT tracking section but not the Secondary School Report and Transcript.)

    How should I understand the situation? Is it because of some information is missing that my Secondary School Report and Transcript has not been recognised? I really need your help.

    Hey, I just had a quick question.

    I was looking at the my.mit.dashboard and I saw that none of my standardized tests have been accounted for. I send my scores to MIT through collegeboard around January 1st, so should I be worried?

    I am an international applicant. I had sent my financial aid application along with the secondary school transcripts and the teachers evaluation forms. Yet, in my my.MIT site, it is mentioned that they have not yet received my finaid application. What should I do?

  46. Dear Matt,

    I am a regular action applicant for admission to MIT (as all of the people above smile) and I have a question to ask.
    The question is concerned with your testing requirements. I know that it is possible for international students to meet your testing requirements either by taking SAT 1 and two SAT subject tests or by taking TOEFL and again two SAT subject tests. I took both TOEFL and SAT 1 tests in January and ordered the testing agencies to send you the official score reports, but as it seems to me (it is indicated at MY MIT) the official report for SAT 1 reached you sooner than the one for TOEFL, is spite the fact that I had taken TOEFL iBT test before taking SAT 1. Question: Is it possible to replace my SAT 1 scores by my TOEFL scores when they will reach you? (Probably, the TOEFL scores will reach you within a day or two, if they haven’t reached you yet.)

    P.S. As you have probably guessed my SAT 1 scores were not encouraging :(.

    Hey Matt,
    I have a couple of problems with my application. First of all, I applied under regular action before Christmas, and my counselor sent in everything with my application at that time. She also sent my mid-year report to MIT about a month ago. When I checked my MyMIT status, it showed that the admission office do not have neither of my transcripts. My counselor is that she sent everything in. I was wondering if the office never received any of my transcripts and that I need to ask my counselor to re-send them?

    Another question: I currently live and go to school in the U.S., but I am not a citizen or permanent resident of the country. Do you need to know my address outside of the U.S.? Because someone told me that the international address is required by law.
    It would be very helpful if you could answer these questions.

    1. In my account, it already recieved my SATI and SATII scores. My TOEFL score will arrive to MIT soon so is it ok for you to insert my TOEFL score in my profile too? Thank you
    2. My account is missing my financial aid envelope eventhough I sent them to the Office of Admission. Can you please recheck the envelope again? Thank you
